Temporary position. Working 100% remote.

The talent acquisition onboarding coordinator provides on-boarding support to Trinity Health's FirstChoice team, by delivering an exceptional service to the hiring managers, internal colleagues and external applicants, while complying with the hiring process and meeting compliance requirements. Responsibilities

  • Knows, understands, incorporates, and demonstrates the Trinity Health Mission, Vision, and Values in behaviors, practices, and decisions.
  • Schedules health screens, background verifications, credentialing, and orientation events.
  • Assists colleagues, Talent Acquisition and Operations team with basic and moderately complex onboarding issues (i.e., candidate status in the process and requirements, Onboarding process questions). Provides prompt solutions, highly responsive and superior customer service to inquiries and requests. Successfully builds relationships remotely.
  • Maintains a working knowledge of applicable Federal, State, and local laws and regulations, Trinity Health's Organizational Integrity Program, Standards of Conduct, as well as other policies and procedures in order to ensure adherence in a manner that reflects honest, ethical, and professional behavior.
  • Owns the onboarding process for all new employee and transferring colleagues to create a positive onboarding experience for all stakeholders.
  • Coordinate the execution of new team member onboarding processes including welcome letter, background checks, I9 completion, Employee Health services, licensure and certifications, and all other requirements as necessary based on position needs (i.e housing stipend, badge picture, etc.).
  • Complete review of colleague file to ensure required documents are cleared for colleagues transferring positions to/from/within FirstChoice.
  • Review of background check results and adjudications as needed. Follows the guidance of the National Background Check Procedure and Background Decision Grid and escalates issues as needed.
  • Provide guidance of I9 scheduling to candidate and ensure completion of I9 process per established guidelines.
  • Collection and review of candidate's state licensure, credential, and certifications as per state/position requirements.
  • Serve as the designated employee health reviewer for FirstChoice. Appropriately initial order for all new hire candidate's pre-employment health screenings. Review pre- employment health records and provide clearance based on FirstChoice Employee Health guidelines.
  • Responsible for intake and review of COVID exemption requests.
  • Coordinates with local RHM Employee Health Services for onboarding EHS tasks required to be done on-site (mask fit test, etc.).
  • Ensure all required onboarding documentation (certifications, licensure, COVID documentation, etc.) are unloaded into Workday appropriately and in a timely manner.
  • Provide regular and real-time updates on onboarding status to the new hire, Talent Acquisition Partner, Operations team, and other necessary parties
  • Ensure communication and clearance notifications are completed and relayed to the new hire and the hiring team in a timely manner.
  • Maintain updates to the onboarding Smartsheet in a timely manner.
  • Create, update, and maintain electronic team member files with appropriate documentation as part of audit requirements.
  • Act as primary point of contact throughout the entirety of the onboarding process for the new hire candidate, collaborating with the Talent Acquisition and Operations as needed
  • Must maintain professionalism at all times. Ability to interface comfortably with associates at all levels of the organization
  • Participate in Talent Acquisition and Operations special projects/meetings as needed.
  • Other duties as assigned.

Qualifications
  • Must possess a comprehensive knowledge of talent acquisition onboarding practices and processes as normally obtained through an Associate's Degree in Business, Human Resources or a related field.
  • At least two (2) years of experience in a Talent Acquisition or an administrative or a customer service support role in a high volume work environment; or an equivalent combination of education and experience.
  • Proficient with Microsoft Office, working knowledge of Smartsheet's, and experience using Workday or similar colleague tracking system
  • Good keyboarding skills with a high level of accuracy and attention to detail.

  • Detail-oriented with a high level of organizational skills and ability to manage and complete work in an efficient and thorough manner.
  • Flexibility with handling and prioritizing completion of multiple tasks/projects in a timely and organized manner.
  • Must possess a personal presence that is characterized by a sense of honesty, integrity, and caring with the ability to inspire and motivate others to promote the philosophy, mission, vision, goals, and values of Trinity Health.
