JOB DESCRIPTION

JOB TITLE: Specialized Billing - Fuel

REPORTS TO: Controller

INTERACTS FREQUENTLY WITH: Vendors, visitors, associates, executives and management

JOB OBJECTIVE:

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Responsible for all aspects of billing processes, including billing compliance, implementation, and maintenance of billing practices across fuels and industrial services. Develops processes involving expedient exchange of information to and from clients and management. Guarantees accurate, timely, and consistent flow of billing information and manual invoicing to all customers. Conducts follow-ups to customer issues. Develops and conducts compliance audits. Accurately and professionally resolves customers account inquiries to ensure appropriate payment of credit and debits in a timely manner. Working knowledge of fueling and industrial services that effect billing. Undertakes a variety of financial and non-financial tasks to assist in the maintenance of the company's profitability.

Responsibilities

  • Inputs data for fuel billing through BOL module
  • Processes credits and rebills
  • Processes sales tax filing
  • Reconciles A/R clearing account
  • Handles special customer accounts billing
  • Assists dispatch with work order billing
  • Processes lube write off billing
  • Balances C-Store accounts credit and debits for invoicing
  • Determines and inputs pricing for fuel billing and creates delivery tickets
  • Separates driver fuel paperwork
  • Assists customers with questions
  • Processes credit cards payments
  • Assists CFN with any issues
  • Assists Consigned problems
  • Assist A/P
  • Manage the status of accounts and balances and identify inconsistencies
  • Assists accounts receivable database with new accounts or missed payments

PHYSICAL REQUIREMENTS:

  • Lifting 20-pound objects constantly; 50 pound objects occasionally
  • Climbing ladders, stairs and ramps

  • Hearing: perceiving the nature of sounds with or without correction
  • Talking: expressing or exchanging ideas by means of the spoken word

ATTENDANCE REQUIREMENTS: Attendance on a regular, consistent basis is mandatory, including arriving at the time as scheduled your supervisor daily.

WORK EXPERIENCE:

  • 5-10 years administrative experience.
  • Experience working in a customer-focused and fast-paced professional environment.

EDUCATION

  • High School Diploma, GED, or equivalent knowledge
