ABOUT THE OFFICE OF THE UNIVERSITY REGISTRAR

The Office of the University Registrar models the highest standards of the registrar profession in providing exemplary service to the University community and constituents, while ensuring accuracy, integrity, and confidentiality of academic records. Technology plays a critical role in providing contemporary services to the University community. Collaborating closely with the Office of Information Technology and a host of vendor partners, the Registrar team designs innovative services and solutions for faculty, staff, advisors, and students. Examples of success include early implementation of preferred names and pronouns for students, a custom faculty and advising center, a new OHIO Guarantee+ Graduation Plan system, and tailored reports and integrations for multiple University constituents.

POSITION SUMMARY

The Registrar Services Manager is responsible for supporting the operational functions of Registrar Services, including the processing of registrations, re-enrollments, degree/enrollment verifications, classroom scheduling, transcripts, and other front-line support. The incumbent supports office leadership in the continuous evaluation of system tools and processes, and serves as a subject matter expert for University Registrar in the development of strategies to improve processes and systems that support University Registrar operations. The Registrar Services Manager manages, supervises, mentors, and coordinates work plans for a team of classified records managers with the responsibility for improving services to provide efficiency. Provides regular communication to the University community reminding them of systems and how to use them. Responsible for a team who provides outstanding service to students, faculty, staff, and the public as well as internal colleagues.

KEY RESPONSIBILITIES

Management of Registrar Services:

  • Hire, train, manage, supervise, and mentor a team of classified records managers to facilitate efficient and effective processing of registrations, re-enrollments, degree/enrollment verifications, classroom scheduling, transcripts, and other front-line support. Plan and delegate projects and tasks to team members, monitor quality and accuracy, and ensure consistent compliance with state and federal regulations, university policies, and industry standards and best practices. Sets goals and provides annual performance reviews.
  • Implement quality assurance measures to anticipate and identify potential data issues, and develop continuous improvement processes for data integrity of records. Develop processes to audit and review data entry; ensure quality assurance activities are effective.
  • Develop and maintain thorough documentation pertaining to systems and associated policies and procedures for registrar services operations. Serve as a point of contact and subject matter expert for day-to-day inquiries regarding registrar services operations and use of the student information system.

Registrar Services Processes:

  • In coordination with office leadership, support the continuous evaluation of system tools and serve as a subject matter expert for Registrar Services operations in the development of strategies to leverage systems that meet our needs. Support the configuration and maintenance of the room scheduling software, schedule generation tool, and class permission system. Participate in process design and provide support for maintenance of security and roles, quality control measures, and data flow between systems.
  • Plan and prepare for software upgrades or implementation of new technology solutions by developing and executing comprehensive test plans. Determine testing methodology and coordinate with stakeholders inside and outside of Registrar Services to ensure acceptable system performance.
  • Design and build routine and special operational reporting and business intelligence analytics to support business decisions and evaluate effectiveness of operations.

Manage department inventory of computer hardware and software for computer workstations, peripherals, and printers/copiers. Analyze usability of technology based on equipment condition and end user needs. Anticipate the needs for replacement machines and oversee the procurement of replacements. Coordinate new hardware and software installations for staff and serve as a technical administrator for the equipment.

Communication:

  • Provides training and support as needed to the University Community.
  • Provides regular communication to faculty and staff regarding Registrar Services operations such as how to use the Class Permission process, reminders to update textbook and materials information.

Minimum Qualifications

Bachelor's degree or equivalent experience to substitute for a bachelor's degree.

At least three years of work experience.

Ability to communicate technical information to non-technical personnel and to communicate effectively, both orally and in writing.

Experience working in a paperless environment.

Strong project management skills.

Working knowledge of concepts, practices and procedures and ability to use in varied situations.

This position requires knowledge of all FERPA regulations and guidelines and needs familiarity with Ohio University policies and procedures (may be obtained after hire).

At least 1 year of supervisory experience.

Preferred Qualifications

Experience with PeopleSoft, OnBase, OBI, Astra Schedule, Textbook and Materials system, Microsoft Exchange & Office preferred.

Pay Rate: Target hiring range for this role is $44,592 - $51,838. The final offer will be commensurate with the candidate's education and experience in relation to the minimum qualifications for the position, while also considering internal equity.
