Summary: This position is responsible for providing overall divisional quality assurance which includes reviewing and maintaining contract data, tracking important dates, creating reminders and notifications, ensuring all deadlines are met, assisting with program start up, and working closely with a divisional leadership and support team under the guidance and direction of the Executive Director.

Essential Functions:
1. Creates and maintains tracking systems for all Community Services Division resources, leases, contract agreements and other relevant programmatic or contractual items.
2. Tracks all new funding opportunities and grant applications deadlines and due dates.
3. Data entry, reporting, and maintenance of multiple information databases.
4. Prepares documentation needed for new grants, grant renewals, contract amendments and as requested ensuring timely and accurate completion of all documentation.
5. Works independently to monitor contract changes, ensuring all requested documentation is returned to the funder, creates documentation for CSD leadership to explain contract changes and action items needed.
6. Completes research through phone calls, interactions with other community partners and online to assist leadership in making decisions for programming.
7. Manages confidential matters per BCFS HHS policy for the Executive Director and CSD support staff including direct and frequent interactions with other executive level leaders.

8. Identifies relevant funding opportunities and completes white papers for Executive Director's review and approval.
9. Meets all pre-determined deadlines required by program and state and federal partners and executive staff.
10. Completes thorough side by side review of contracts and other documentation of high importance to identify changes.
11. Travels to all CSD offices as needed to provide on-site support and training.
12. Assists with creating, implementing, and tracking action plans during new award start up periods, and plays a significant role in helping the program go live.
13. Other job duties as assigned.

Measurable Deliverables:
1. Maintains tracking sheets and provides daily and/or weekly updates to the Executive Director.
2. Attends and completes training within allotted timeframe.
3. Monitors contracts for consistent adherence to contractual requirements and informs Executive Director of any aberrations on a weekly and/or monthly basis.
4. Maintains data systems on a timely basis ensuring that all information is updated monthly.
5. Participates in weekly and monthly scheduled meetings and team decisions and operations.
6. Maintains BCFS HHS professional and ethical standards of conduct outlined in BCFS HHS employee handbook including demonstrating respect for agency staff, children, and community members and complying with required dress code, at all times.

Credentials, Skills and Abilities:
1. Pass a pre-employment drug screen, random drug screens and always maintain emotional control and professional composure.
2. Provide proof or work eligibility status upon request.
3. Pass a pre-employment and biennial criminal background and motor vehicle check (fingerprints needed if applicant has lived out of state within the past 5 years)
4. Demonstrate the ability to:
a. Respond sensitively and competently to the service population's cultural and socio-economic characteristics.
b. Communicate effectively in writing and verbally.
c. Work in a fast-paced environment.
d. Maintain computer literacy required to meet the responsibilities of the position.
e. Work effectively and without intensive supervision both independently and as a member of a multidisciplinary team.
f. Travel as needed.
g. Manage time effectively and efficiently.
h. Have a high level of organizational skills and attention to detail.
