Moretrench Industrial Inc. seeking a results-driven Project Administrator to join our team in the Tampa, FL office.

Responsibilities

  • Manage the accounting functions of the project site.
  • Collect and process paperwork verifying for accuracy.
  • Communicate daily with the project Field.
  • Communicate with Vendors and Clients.
  • Create Opportunities as given from field.
  • Create Job start notice (JSN) as requested by field/PO from client.
  • Create JSN for PO change orders.
  • Track and enter Payroll (PR) hours in Groundworks (GW).
  • Track and enter equipment hours in GW.
  • Survey Time/Equipment and Transport Time/Equipment to be added to timesheets.
  • Review and approve AP invoices in GW workflow, and contact vendor if invoice is incorrect or missing.
  • Create PO requisitions and submit to vendors - store in project folder in server when returned with signature.
  • Receive on PO's once verified with field and track POs to increase/close.
  • Create IC billing sheets as needed.
  • Create billing roll-ups.
  • Track billing to PO's - total amount and material amounts for Field Glass PO's.
  • Client reports if needed and/or Client system data entry if needed.
  • Audit project to ensure all materials were billed.
  • WIP reports


Qualifications

  • Previous experience in a related field encouraged.
  • Previous experience in working with Project Managers for the delivery of projects.
  • Written and verbal communication skills
  • Solid organizational skills including attention to detail and multitasking
  • Strong working knowledge in Microsoft Office and of project manager tools
  • Associates or Technical degree required
