REMOTE POSITION

The Pre Award Grants Administrator is responsible for Pre Award operations within the Department of Psychiatry under the direction of the Research Administrative Manager. This involves interaction with and coordination of all interrelated areas, including sponsor, institutional and departmental policies and procedures.

Primary responsibilities include working with Principal Investigators to develop and fully manage and coordinate the funding proposal preparation for new, continuing, and competing grant and contract applications; functioning as liaison to federal and non-federal grantor agencies and subcontracting institutions.

The candidate will report directly to the Research Administrative Manager for the Department of Psychiatry and will work closely with the Investigators and their staff. The candidate is required to maintain a collaborative working relationship with the investigators, research fellows, research assistants and all other related research personnel within the group and to maintain a constant and open communication with the Research Administrative Manager.

Responsible for Pre Award Grant activities including:

  • Works with Principal Investigators (PIs) and their support staff to coordinate all aspects of grants submission; assists PIs with preparing budgets and budget justification; ensures proposal compliance with Brigham and Women's Hospital (BWH), Mass General Brigham (MBG) and Sponsor policies and procedures, as well as those of subcontracting institutions. Routes proposals through internal approvals process. Collects and compiles internal documents from PIs/assistants for new submissions, progress reports and closeouts.
  • Apprise investigators of submission dates and changes in the applications, submissions, and funding guidelines of the institution and of various funding agencies.
  • Interprets and articulates institutional and sponsor policies and procedures to ensure compliance.
  • Proactively keeps Investigators apprised of changes in policies and regulations of federal and non-federal grantor agencies.
  • Identifies potential budget, procedural, and/or policy issues affecting grant submission and work with Principal Investigators to resolve issues.
  • Compiles JIT documents: Human Subjects Education certification, IRB, IACUC and Other Support pages while closely working with Psychiatry Sr Grant Administrator.
  • Work with Pl, Sr Grant Administrator, and MGB Research Management on progress reports and closeout of grants/ contracts.
  • Develops primary working relationships with Investigators, internal staff, MGB Research Management, and external administrators.
  • Listen to BRISC meetings to keep current with federal (NIH in particular), state and other sponsor requirements, timelines and policy issues; attendance at additional relevant meetings and trainings (Department, BWH, and MGB), when available.
  • Maintain active communication with investigators, administrators, and agency officials, including the National Institutes of Health and other federal, state and local offices, for giving and receiving information. Success depends on knowing relevant recent events which may affect research areas and then acting in a timely manner.
  • Any other administrative activity as required.
  • Perform other duties and responsibilities as needed.
Skills / Abilities / Competencies Required:
  • Must be able to take initiative and manage multiple projects simultaneously with frequent competing deadlines.
  • Must have excellent attention to detail.
  • Exceptional analytical and organizational skills and the flexibility to handle multiple tasks and deadline pressures while paying strict attention to details.
  • Ability to resource efficiently and autonomously.
  • Excellent interpersonal/communications (verbal and written) skills and a customer service focus.
  • Demonstrated proficiency in Microsoft Office, Word, Excel, and Internet applications.
  • Demonstrated ability to be organized and flexible in an environment which requires continuous monitoring of priorities.
  • Highly goal-oriented, self-motivated, and able to work independently as well as in coordination with various teams.
  • Willingness to take on new challenges and flexibility with change.
  • Developing budgets and budget justifications for grant proposals
  • Strong analytical and organizational skills and the flexibility to handle multiple tasks and deadline pressures.
  • Excellent interpersonal and management skills, with the ability to interact professionally with staff at all levels.
  • Excellent verbal and good written skills are essential, as well as tact, discretion, and an ability to interact with persons having diverse backgrounds such as M.D.'s, Ph.D.'s, and research administrators.


Qualifications
  • Bachelor's degree or equivalent or 7-10 years of experience directly related to grant proposal submissions
  • Requires verbal, quantitative and interpersonal skills normally acquired through the completion of an undergraduate degree or experience in a medical setting.
  • General knowledge of NIH and other federal, state and foundation regulations and requirements for Hospitals and medical research.
  • Familiarity/experience with all types of award mechanisms, including grants, contracts, subcontracts, cooperative agreements.
