Job Description
To work in close collaboration with the Director in managing the day to day administrative operations of the Counseling Service which include coordinating all aspects of the office. To provide support to the Counseling team and to work in collaboration with other offices of the Division of Student Life.

Position Responsibility

  • Working in close collaboration with the Director in all aspects of the management of the office;
  • Opening and closing of the office and scheduling appointments;
  • Answering the telephone and taking appropriate action for appointments or referrals;
  • Assisting students, parents or others at the institution who call for assistance;
  • Monitoring the budget, ordering supplies and paying bills; creating reports for the director
  • Utilizing technology, databases and website to assist with the publicizing of services, i.e. website;
  • Assistance in retrieving, collecting and preparing data for the annual reports and other reports as assigned.
  • Delegate and oversee the day to day duties and responsibilities of the Office Assistant.
  • Working in close collaboration with other departments of the Division of Student Life and the College at large.
The successful candidate must:
  • Demonstrate high level of interpersonal skills and professionalism;
  • Able to maintain confidentiality and respect the privacy of the office and clients
  • Provide a welcoming, caring environment, and able to interact comfortably with people who might be in distress;
  • Highly responsible and reliable, able to work semi-autonomously and in a timely manner;
  • Demonstrate comfort and proficiency with technology, monitoring the budget, data collection, etc.
Supervisory Responsibilities
  • Supervise, delegate and oversee job duties and responsibilities of the Office Assistant.
Basic Qualifications

Education:
  • Associate Degree in Business or Office Management; Bachelor's Degree preferred.
Experience Required:
  • Demonstrated 3 - 5 years of experience in office management; mental health or health setting preferred.
Skills and Abilities
  • Experience and comfort with technology, i.e. electronic record systems, word, file maker pro, excel, workday, etc.
  • Ability to look at the big picture while also being able to attend to detail.
  • Ability to work in a busy, sometimes hectic, fast-paced environment.
  • Need to be flexible, open, kind, trustworthy and compassionate.
  • Demonstrate solid interpersonal skills
  • Good communicator in both verbal and in written forms
