The College of Allied Health Sciences at Augusta University trains and educates today's health care professionals: the therapists, technicians, administrators, managers and assistants who are the backbone of our country's health care workforce.

As the nation's population ages and increasingly struggles with chronic disease and disability, as well as health care reform, our mission of educating premier health care professionals has never been more vital. Job Summary

Responsible for providing support to CAHS administration and department chair by planning, organizing as well as budget and operational management in the department.

Responsibilities

The duties included, but are not limited to:

BUDGET MANAGEMENT: Responsible for managing departmental budgets for all fund sources. Purchase office and clinical supplies, equipment, and furniture etc. Manage and reconcile all departmental budgetary accounts for all fund sources. Authorize and submit requisitions, check requests, travel authorizations/ reimbursements and as well as preparation of budget amendments. Review pre-payroll reports and distributions. Review and approve P-Card
transactions. Monitor and make recommendations regarding utilization of departmental resources and
efficiencies.

PROCESS PERSONNEL PAPEWORK: Responsible for timely processing and monitoring of personnel paperwork for staff and faculty positions, including time and attendance, effort reporting, etc. Initiate all personnel actions including ePars, employment requests, faculty/staff recruitment, and faculty/staff initial employment documentation.

PROPERTY CONTROL: Serve as Assistant Property Control Officer for the department. Submit Asset Management paperwork for relocation, transfer and/or surplus. Complete annual inventory audit and Property Loan Agreements.
Maintain complete inventory listing to include computers, printers, fax machines etc.

BUSINESS OPERATIONS: Ensure efficiency of business operations. Provide general clerical support: answering main phone lines, greeting visitors, students, and directing guests to the appropriate areas. Develop, implement, and monitor compliance of administrative policies and procedures. Ensure administrative and operational support is
adequately provided. As needed, provide support for departmental/program events that may occur on evenings and weekends.

ACADEMIC SUPPORT:

Provide academic administrative support to the Program Director as follows:
Course scheduling / Banner needs building schedules, changing instructors, times/locations
Initial response to applicant inquiries.

Assist in admissions process:
a. Initial review of application for basic requirements
b. Scheduling interviews, coordinating times between admissions committee and applicants
c. Troubleshooting issues in DICAS
d. Assist with record keeping of admissions



Provide administrative support and serve as primary contact for student administrative
issues/questions.
Provide administrative support for supervised practice rotation:
a. Initial intake audits for required paperwork
b. Monitor clearance status, assist with site clearance processes
c. Monitoring of rotation paperwork submission, and filing identify issues to being to PD
d. Reminders to students: paperwork submission, rotation change, preceptor contact change



Coordination of events: (ie White Coat and Open Houses) logistics: location (room reservation
paperwork tracking, refreshments, volunteer coordination, set-up/break-down, etc, program printing)
Verification statement requests. Guest speaker logistics, request parking, send reminders to speaker with details
Organize, file, and scan academic documents.

OTHER DUTIES: Performs other duties assigned.

Required Qualifications

High School Diploma/ GED with a minimum of nine years of progressively responsible office support experience.

OR

Associate's degree with a minimum of six years of progressively responsible office support experience.

Knowledge, Skills, & Abilities

KNOWLEDGE
Proficiency with Microsoft Office (Word, Excel, Access, and PowerPoint)
Testing will be required to determine actual proficiency of office software and procedures.3 years of experience
Additional testing will be conducted to determine advanced competency levels of writing abilities.

SKILLS
Excellent customer service, interpersonal, multi-tasking, organizational and verbal/written communication skills.

Must demonstrate accountability, innovative, management and problem-solving skills.

Maintain a professional/positive attitude.

Highly organized with attention to detail.

Experience in office and budgetary management.

ABILTIES
Ability to coordinate multiple projects simultaneously.
Ability to meet deadlines despite often interruptions.
Maintain confidentiality, exercise sound judgement. and keep accurate records and make independent decisions.
