Job Title: Customer Service Representative

Location: Irvine, CA

Salary: Up to $22/hr

TEMP TO HIRE

Schedule: Multiple options available between 7-8AM to 4-6PM, Monday to Friday, 8-hour shift with a 1-hour lunch break

Responsibilities:

  • Provide exceptional customer service to clients, ensuring their needs are met promptly and effectively.
  • Dispatch and manage work orders efficiently, ensuring timely completion and adherence to customer specifications.
  • Track customer inspections and maintain comprehensive records of all interactions and transactions.
  • Foster positive and professional relationships with assigned account contacts, prioritizing timely communication and follow-up.
  • Establish and maintain strong rapport with affiliate subcontractors, ensuring clear communication of service requirements and expectations.
  • Communicate effectively with customers and affiliates via telephone and email, addressing inquiries and resolving issues promptly.
  • Receive incoming work orders and dispatch them according to customer expectations and service level agreements.
  • Maintain accurate records of all open and closed work orders, updating status notes in the Great Plains system and providing regular reports on schedule dates, estimated completion dates, and closure dates.
  • Liaise between customers and affiliates to ensure seamless coordination and timely completion of work orders.
  • Obtain purchase orders for inspections from customers and dispatch inspection work orders to affiliates in a timely manner.
  • Follow up weekly on the status of inspection completions, ensuring adherence to deadlines.
  • Solicit and submit proposals for additional repairs/services as needed to address customer requirements and correct deficiencies.
  • Conduct regular follow-ups with affiliates to ensure timely submission of reports, paperwork, and invoices to National Accounts.
  • Review the Call Analysis report from the account manager and provide updates on the status of work orders and any outstanding issues.
Qualifications:
  • High school diploma or equivalent; additional education or certification in customer service or related field is a plus.
  • Proven experience in customer service, dispatching, or account management roles.
  • Excellent communication skills, both verbal and written, with the ability to effectively interact with clients, affiliates, and internal stakeholders.
  • Strong organizational skills and attention to detail, with the ability to manage multiple tasks and priorities simultaneously.
  • Proficiency in Microsoft Office Suite and experience with CRM or dispatching software preferred.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Prior experience in the facilities management or construction industry is advantageous
