Compliance Assistant Summary

This compliance assistant will support the company's pipeline regulatory compliance functions by performing essential data entry, administrative, scheduling, records management, and communication tasks within the Compliance department. This person will handle highly confidential medical information related to federal DOT regulations; must be extremely detail oriented; and must be self-motivated to problem solve and improve processes.

Compliance Assistant Main Responsibilities:

Training Programs:
  • Assist in organizing and scheduling training classes.
  • Communicate information on specified class(es) to necessary Miller Pipeline associates for enrollment.
  • Maintain all documentation on each person's training history.
  • Maintain stock levels of training materials required for each training topic. Ensure appropriate materials are provided to each trainee for each class.
  • Prepare Certificates of Completion for all compliance training.
  • Maintain training schedule and roster for each training session.
Operator Qualification Program (OQ) Duties:
  • Maintain database software program for all employees' qualifications.
  • Maintain records for divisional, regional, and customer reports.
  • Supply regulated information to customers as needed.
  • Maintain file system on each employee's evaluation criteria and evaluation forms.
  • Maintain file system on each evaluator's credentials and evaluation details.
  • Maintain necessary customer documentation per customer requirements.
  • Work closely with Compliance Manager in the organization and development of the OQ management systems and file retrieval.
  • Provide OQ compliance reports to external entities, as required.
  • Maintain necessary stock levels of materials required for OQ Compliance.
Drug Testing Program Duties:
  • Establish new drug testing facilities with the company's third party administrator.
  • Follow up on results of drug tests for new hire candidates and current employees.
  • Report results to proper contact person at each location.
  • Maintain file on each company customer with information provided to them.
  • Review testing documents for accuracy and provide corrections when necessary.
  • Keep the Drug and Alcohol database updated with all employee testing information. Audit database frequently to ensure validity and integrity of data.
  • Participate in drug and alcohol audits.
Administrative Duties:
  • Provide administrative support to the Compliance Director and Compliance Manager.
  • Answer phone calls.
  • Handle daily mail.
  • Type compliance correspondence.
  • Organize and maintain all files and records in the Compliance department.
  • Maintain necessary stock levels of written, program, and/or training materials.
  • Compliance Assistant Required Qualifications:
  • High school diploma or equivalent
  • 2+ years pofessional administrative work, especially handling sensitive and confidential information
  • Working knowledge of MS Office (Word, Excel, Outlook, Access)
  • Proficient use of the Internet
  • Use of multiple types of visual aids
  • Good organization of time and workspace
  • Meet multiple completing project deadlines
  • Critical thinking and good judgment
  • Attention to detail
  • Communication with internal and external customers
  • Self-motivated
Compliance Assistant Preferred Qualifications:
  • Associate's degree in business management, human resources or related field
  • 1+ year DOT compliance-related administrative experience, especially within pipeline operations
  • Familiarity with federal regulatory processes, audits, and procedures of compliance
