Job Summary
The Associate Director will work closely with the Office of Student Financial Aid, Office of Admissions, current and prospective students, and collaborate with a variety of administrative offices, including Academic Achievement, Admissions, Business and Finance, Dean's Office, and Student Life and Leadership. This position supports the mission of the Carle Illinois College of Medicine to recruit, retain, and graduate talented and diverse students by applying leading-edge technologies and practices in implementing and managing an effective financial aid program.

Duties & Responsibilities

  • Financial Aid Counseling
    • Oversee a comprehensive financial aid counseling and debt management program.
    • Providing counseling and guidance to borrowers of student loans during the period which funds for student loans are remitted through repayment in full of student loans that includes assistance with financial planning, borrower entitlements, and repayment options.
    • Meet with prospective, admitted, and current students regarding financial aid concerns, including loan amounts, internal and outside scholarships.
    • Hold open office hours to meet with students on an ad hoc basis.
    • Assist with financial aid estimates, FAFSA completion.
    • Stay abreast of Title IV policy and updates.
    • Foster internal and external communication to inform students and prospective students about financial aid policies and procedures.
    • Participate in student orientation, graduation, and other student and prospective student events.
  • Scholarship Administration
    • Oversee scholarship process.
    • Work with the Office of Advancement to award endowed scholarships and act as a liaison between the Office of Student Affairs, Office of Admissions, and the Office of Advancement to enhance stewardship initiatives.
  • Compliance
    • Maintaining knowledge of existing and new policies, procedures, and developments related to student loans, and participate in developing, planning, and implementing new policies and procedures to promote the proficiency of Student Loan Operations.
    • Assisting with reviewing student loan activities to ensure compliance with federal and state regulatory requirements and with university policies and procedures.
  • Reporting
    • Participate in cost of attendance analyses.
    • Prepare other internal and external reports as requested (e.g., accreditation reports).
    • Prepare ongoing financial projections and data analyses to inform strategic decisions.
    • Use technological and analytical tools to perform financial aid activities efficiently and intelligently.
    • Provide information and interact with outside agencies as needed (i.e., AAMC, LCME, etc.)
  • Other
    • Perform other related duties and participate in special projects as assigned.
    • Establish and maintain effective working relationships; work cooperatively and collegially with others in a manner consistent with a workplace of dignity and respect; support and engage in equal employment opportunity principles, rules, and regulations.

  • Minimum Qualifications

    • Bachelor's degree in business, communications, humanities, social sciences, or a closely related field to the position.
    • Three (3) years (36 months) of professional experience working in student services, financial aid/loans or a closely related field within higher education or a related agency.
    • Demonstrated experience using federal online financial aid applications and the National Student Loan Data System.

    Preferred Qualifications

    • Master's degree

    • Knowledge of Banner system's student module. • A record of demonstrated knowledge of financial-aid policy. • Comfort with technology. • Outstanding judgment, discretion, and communication skills. • Appreciation of working in a diverse, dynamic community of professional and graduate students. • High level of personal integrity.

    Appointment Information

    This is a 100% full-time Civil Service 5011 - Financial Aid Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after 4/15/2024. The salary for this position is $50,000 to $65,000 and is commensurate with experience.
