Summary: As part of the WellCONTAINED team, this position is responsible for providing support to the WellCONTAINED Department to ensure essential processes are moved forward efficiently and acts as a liaison between operations, vendors, clients and other departments to limit operational non-conformances.  The Response Coordinator is responsible to lead efforts to improve efficiency and performance, develop protocols for implementing procedures, and to track Department projects.  This position is responsible to communicate efforts between departments, track work to completion, generate reports, handle billing, request/track purchase orders, and other customer support processes as required.  Constantly interfacing with Technical Services Manager, General Manager, Project Managers, and other WWCI personnel.

Essential Duties and Responsibilities:

  • Responsible to accurately track all awarded work from award to completion.
  • Responsible for opening and closing WWC job numbers for project work.
  • Responsible to requisition services and goods in support of projects.
  • Responsible to recommend approval of invoices for payment
  • Responsible to lead operations to continually improve department efficiency, reliability and MOC processes
  • Ensures that clear, accurate, and timely documentation is maintained for all critical records
  • Reviews production schedules, inventory reports, and work orders to determine requirements and status of customer orders, as well as priorities of customer orders
  • Confers with department supervisors to determine quantities, and availability of required materials
  • May update and maintain schedules, tracking spreadsheets, and workflow tracking on WorkZone
  • Assists with monitoring subcontractors
  • Reviews time and material sheets in preparation for management approval
Minimum Requirements:
  • Recent operations support, 3 years or more required
  • Recent Health, Safety and Environmental experience, 1 year or more required
  • Recent administrative assistance, 3 years or more required
  • Recent accounting experience, 2 years or more required
  • Excellent documentation and auditing skills
  • Attention to detail and multi-tasking abilities
  • Ability to define and take action in ambiguous situations with minimal direction
  • 3+ years operations and project management experience supporting managerial level staff
  • Ability to manage multiple concurrent small to large projects spanning multiple functional areas
  • Exceptional organizational skills personally and to assist others within the organization
  • Outstanding PC skills (Excel, Word, Power Point, Outlook, and Project)
  • Ability to be innovative, set priorities and make independent decisions
  • Ability to effectively deal with problems under pressure
  • Ability to maintain good client, vendor and coworker relationships
  • Commitment to understand and apply problem solving and quality improvement processes
  • Commitment to ethical behavior
Education: 
  • High school diploma or GED required
  • Associates degree, trade school, or technical school diploma with at least 3 years oil industry experience preferred
