Job you will do

Typical Day in the Life

A typical day as a Receptionist/Administrative Assistant in Minneapolis, MN might include the following:

  • Answers the telephone in a professional manner and directs callers to appropriate personnel or department.
  • Greets and assists walk-in clients.
  • Schedules appointments and reserves meeting rooms.
  • Collaborates with local office Management, Marketing Coordinator and Marketing Managers to help plan and coordinate off-site events (researches venues/caterers, negotiates contracts, and determines food and beverages for BD meetings, CPE, trainings or seminars, partner socials, firm-wide meetings that are happening in Mpls)
  • Plans and coordinates on-site events and meetings (works with partner or manager to finalize event, order food & beverage and set up event)
  • Receives and tracks RSVPs for any CPE or events offered to outside attendees
  • Plans and orders food for busy season meals and snacks
  • Assists with mailing and word processing projects.
  • Manages the inventory of supplies and places orders with vendors for office supplies, break room supplies, printer cartridges, celebrations and meals.
  • Provide meter readings to copier services companies
  • Negotiates hotel rates with local hotels and provides them to Altour
  • Validates parking vouchers for visitors and maintains the log
  • Reconciles parking ramp invoice to the log
  • Orders business cards/name badges
  • Creates workstation name plates and helps create a warm welcome for new hires
  • Distributes faxes that come into main fax line through Firmworks
  • Oversee the runner that cleans up conference rooms after meetings, stocks break room supplies and beverages, delivers mail to drop off, distributes daily mail, delivers packages
  • UPS labels for the office
  • FedEx labels/requests
  • Courier Service coordination
  • Part of an administrative team that works together to meet all administrative deadlines

Who You Are
  • Strong organizational and customer relation skills.
  • Working knowledge of practice management systems.
  • Ability to communicate clearly in writing and verbally.
  • Ability to work on multiple projects and meet deadlines by setting priorities with work projects.
  • Ability to establish and maintain effective working relationships with co-workers and clients.
  • Proficient with computers, Microsoft Office (Word and Excel) and using various software packages.
  • In addition to all of this, you have an Associate's degree or related 3 plus years of experience in Administration and/or Hospitality.

Must be authorized to work in the United States permanently without the requirement of sponsorship at any point in the future.
