Property Administrator

Real estate development management company in Midtown, Manhattan is seeking to hire a Temp to Perm Property Administrator to assist the property management team. This position will start ASAP, require 5 days onsite. Monday - Friday, 8:30am-5:00pm, flexibility for OT as needed.


  • Daily front office administration such as receiving mail, answering/routing calls, email management, answering questions from tenants, vendors and building personnel
  • Maintain company and tenant contact information on a quarterly basis as needed and distribute to necessary staff members
  • Maintain and review certificates of insurance (COI) for contractors, and vendors
  • Manage the day-to-day operations and tenant relations through the coordination of tenant requests, dispatch of tasks received through the tenant portal, and/or through phone + emails
  • Assist in creating accounts for tenants in various data base systems and be a resource for troubleshooting any tenant and employee system issues
  • Track and distribute Security Deposit refund checks
  • Create and maintain tenant and building employee security access via Galaxy and Latch
  • Provide tenants with assistance in all aspects of scheduling building maintenance, communicating building procedures and general information
  • Support and administer property related accounting functions to include but not limited to accounts payable and receivable (i.e. purchase orders, check requests, electronic deposits, rent payments, and invoice payment inquiries etc.)
  • Assist and support the administration on operation meeting minutes as needed
  • Records management keeping highly organized filing system for leases, and insurance of certificates, vendor files, contracts, and any other pertinent documents
  • Create, schedule and send building notices for building services as per instructions from Management Team
  • Assist to input and maintain tenant community event calendar on tenant portal
  • Purchasing and organization of office, pantry and supplies across departments as needed (i.e. ordering, replenishment of pantry supplies, checking inventory, storage etc.)
  • Ad-hoc assignments as requested and or directed by management
  • Maintain a positive work atmosphere that is harmonious with customers, clients, colleagues, and management


  • 3+ years in residential real estate operations and administrative experience
  • BA strongly preferred
  • Excellent written and verbal communication skills
  • Strong organizational, analytical and problem-solving skills
  • Ability to provide efficient, timely, reliable and courteous service to customers and staff
  • Ability to work independently and multitask


  • Pay rate: $29 - 38/hour DOE
  • Perm salary $60K-80K DOE
  • 100% paid health insurance for single person, 2 weeks' vacation after 6 months or employment, 40 hours sick/safe time, 100% 401K matching
