Job Summary

Responsible to assist Project Management in Audio Visual systems integration project tasks and have/acquire the skills to manage smaller complexity integration projects as required to achieve time, scope, budget, quality, safety and customer satisfaction requirements.

Essential Duties and Responsibilities

  • Assist Project Management / manage the coordination of project activities, including change management, ensuring timely and on-budget completion of project deliverables meeting client scope and quality requirements, all according to established AVI-SPL Project Management principles and procedures
  • Review and acquire a thorough knowledge of contract documents for each assigned project including, but not limited to: project scopes of work, bid drawings and specifications, contract, subcontractor scopes of work, and construction schedules.
  • Understand project schedule and assist in coordination of appropriate resource scheduling for all required project tasks.
  • Assist / facilitate discovery and documentation during internal project kick-off meetings as needed
  • Attend external project kick-off meetings with all necessary external stakeholders as well as applicable internal resources as required.
  • Assist / facilitate internal and external project communication and documentation by keeping accurate files and records of project status and activities.
  • Respond to communications from customers regarding problems or concerns in a timely and professional manner as directed.
  • Understand / compile job progress reports. Raise any issues to Project/Office Management for proper escalation.
  • Review daily site progress reports from lead technicians and respond to needs identified.
  • Facilitate ordering of equipment and materials for projects after engineering approval.


  • Assist in the management of equipment distribution and shipping through pick ticketing, packing slip and sign off process requirements.
  • Assist Management through the change order process through assurance that any scope, schedule, cost or change of terms are handled in accordance with AVI-SPL change order procedures.
  • Assist with verification of quality of work performed by internal resources and subcontractors.
  • Ensure all closeout/as-built documentation is created and stored in proper location for service and/or future office reference.
  • Engage Corporate Departments/Personnel as needed.
  • Maintain and develop strong relationship with customers with direct interaction with focus on improving customers’ perception of on time delivery, quality, responsiveness, problem solving and service.
  • Achieve project results to satisfy customer requirements to obtain AVI-SPL Net Promoter Score goals.
  • Other duties assigned as needed


Skills and Abilities

  • Work directly Project Management resources and/or independently to accomplish assigned tasks in a timely and effective manner.
  • Proactively plan and assist in solving technical, personnel and other project related issues.
  • Understand and assist with the maintenance of project budgets.
  • Understand Audio Visual system functionality and installation processes and techniques.
  • Accurately read and comprehend project technical and construction documents.
  • Proficient with Microsoft Office (Word, Excel, Outlook), Microsoft Project and Adobe Acrobat.
  • Effectively manage tasks and resources to meet project objectives.
  • Self-starter capable of working independently and ensuring to meet deadlines.
  • Excellent communication and interpersonal skills, both verbal and written.
  • Ability to balance multiple tasks with changing priorities.
  • Demonstrate time management skills with attention to detail.
  • Valid Driver’s License and a Motor Vehicle Record that meets AVI-SPL Driving Privileges standards.
  • Ability to travel to various job sites as required.


Education and/or Experience

  • Demonstrated experience as a Project Coordinator in the Audio Visual, Construction, Technology or related industry preferred
  • Formal education in Audio Visual, Construction, Technology or related field preferred
  • Minimum high school diploma or equivalent is preferred
