Program Coordinator

What We're Looking For:
Thrivence is currently seeking to fill the position of Program Coordinator in the Nashville office. This role is an experienced administrative position, and it supports management consulting projects and programming for clients. This role will be responsible for providing administrative support for the CEO, maintaining the efficient operation of the business, and elevating the overall client and employee experience.

Responsibilities:

  • Supports the planning and coordination of programs and consulting activities
  • Handles all project related financial administration
  • Manages communication with stakeholders around each project to ensure maximum efficiency and the highest-level of client experience
  • Prepares proposals, program materials, and presentations to support programs and business development efforts
  • Responsible for providing information and services to employees and resolving challenges and issues encountered
  • Partners as needed with outsourced vendors to provide superior service
  • Assists in scheduling and coordinating programs, meetings, conference calls, and events
  • Provides planning and assistance to ensure appropriate logistics such as accommodations, catering, technical assistance to include A/V support, vendor & guest coordination are executed and meet the needs set forth by leaders and managers
  • Provides executive scheduling support for CEO
  • Builds positive relationships with team members, colleagues, and client representatives
  • Facilitates filing of various administrative documents
  • Assists leaders and managers with time sheets and expense reimbursement requests
  • Performs other duties as requested


Education & Experience Qualifications:
  • Bachelor's degree in business administration, accounting, business management, marketing, communications, another relevant combination of education and/ or experience may also be considered
  • 4 years of relevant office or business administration experience
  • Ability to work in a dynamic environment
  • Strong organizational and communication skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail and ability to maintain confidentiality
  • Ability to perform under pressure, prioritize needs, and make decisions to meet deadlines
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Strong knowledge of Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and other programs and platforms
  • Strong interpersonal skills and the ability to build relationships with stakeholders, employees, clients, and vendors.
  • Seasoned administrative knowledge in providing consulting services
  • Proactive problem-solving skills
  • Available to work during core hours to fulfill responsibilities of this role as well as overtime on a short notice
  • Proactively collaborates with leaders to meet goals and commitments


Salary Range: $50,000-$80,000 annually
