Job Summary
Reporting to the Assistant Director of Illini Union Document Services, the Printing Production Coordinator (PPC) works with customers to plan, edit, and execute printing and mailing orders, including, but not limited to stationery, manuals, newsletters, brochures, posters and postcards.

Duties & Responsibilities

  • Provides customers with time and cost estimates for potential printing and mailing and verifies that incoming stationery and business card orders comply with the University's brand standards.
  • Enters pricing into job orders and monitors the cost of goods for manufacturing and the costs entered into the Avanti printing management system to ensure that the department's costs are being covered. Participates in Banner transaction verification, purchase order creation and renewal and audits of the pricing established for Campus Mail and Illini Union Document Services.
  • Research, monitor, and order paper and envelope stocks for printing, and production supplies for mailing. Enters purchases into the Chrome River system and submits invoices to Payables for processing and payments. Monitors meter postage and stamp balances and refreshes accounts as needed. Provides documentation and tracking for all departmental purchases.
  • Takes in orders from customers at the front counter, by phone and via the departmental email and web-to-print system, places files in the approved shared server location, and enters customer information and order specifications into the Avanti Print Management System.
  • Arranges for the delivery of proofs, reviews proofs with customers, and notifies production staff when proofs need updates or are approved. Communicates pick-up and delivery needs to Document Services' delivery staff and verifies the delivery status of jobs.
  • Maintains production files for the department, including samples of finished printed pieces and prepares reports as needed for the department, Illini Union, and Student Affairs.
  • Supervises student and temporary employees who are working in the administrative and customer service areas, represents Illini Union Document Services at departmental and campus events, demonstrates professionalism and courtesy, and performs other duties as assigned.
  • Additional Physical Demands
    • Work at a computer workstation at least 50 percent of each workday.
    • Must be able to work under pressure in stressful situations and be able to manage numerous projects simultaneously.

    Minimum Qualifications
    High school diploma or equivalent.
    Three (3) years (36 months) of work experience that provided an overall knowledge of the total operation of a print shop.

    Knowledge, Skills and Abilities
  • Knowledge of procedures, processes, equipment, and terminology utilized in the printing trade.
  • Knowledge of Microsoft Office - Outlook, Excel, and Word and other computer programs.
  • Knowledge of cost accounting methods.
  • Knowledge of scheduling and invoicing.
  • Skill in verbal and written communication.
  • Skill in organizing work assignments, managing multiple tasks, and responding quickly and effectively to challenges.
  • Skill in identifying and solving problems.
  • Skill in time management.
  • Ability to be detail oriented.
  • Ability to perform basic math.
  • Ability to lift heavy materials.

  • Appointment Information
    This is a 100% full-time Civil Service 0925 - Printing Production Coordinator position, appointed on a 12-month basis. The expected start date is as soon as possible after 1/3/2023. Salary is commensurate with experience.
