Provides support by performing receptionist and clerical duties. Demonstrates and provides exemplary customer service that is friendly, helpful and reduces anxiety to all patients, peers, physicians, and NWH departments. Answers multiple telephone lines; takes calls, screens and relays messages and/or provides information to caller. Files and retrieves information as needed. Maintains various databases of patient information. Prepares departmental charts. Orders and maintains inventory of supplies. Processes requests for information/medical records according to guidelines. Registers new patients and updates existing patient information with strict attention to detail and maintains patient privacy. Schedules appointments within the department. Enters charges appropriately for hospital billing.

Ability to work under pressure and handle multiple tasks. Self-motivated and have initiative to identify best practice skills within the practice. Ability to look at the "big picture," not just the front desk. Essential Functions

Essential Functions:

  • Assist the Practice Manager in ensuring the smooth and efficient overall day to day operations of the front desk, and other administrative functions of the practice.
  • Provide excellent customer service, assisting in situations as needed to provide optimal care for our patients.
  • Update and maintain revisions to the front office procedure manuals and templates.
  • Review completed work of front office staff regularly to ensure process and procedures are completed correctly.
  • Meet regularly with Practice Manager to provide support and work collaboratively to enhance efficiencies within the practice setting.
  • Facilitate flow of workload, ensuring work volume is equitable.
  • Handle special projects and assignments as required.
  • Assist Practice Manager in assigning coverage for planned and unplanned staff absences, lunch breaks, and other schedule-related issues for staff.
  • Function as a timekeeper for workgroup, in conjunction with Practice Manager.
  • Manage authorizations in collaboration with clinical team to ensure timely submission.
  • Process and resolve all billing issues, together with the Billing Manager, other staff, and Practice Manager by:
  • Investigating issues and discrepancies.
  • Resolving issues/escalating to Practice Manager and Billing Manager as needed.
  • Following up with patients, insurers, and staff, as needed, to close the loop on outstanding issues.
  • Collaborate with Practice Manager to complete end of day payment process.
  • Check-in and check-out tasks and procedures.
  • Template / Schedule scrubbing
  • Train new staff
  • Manage incoming calls.
  • Faxing/scanning/copying as needed.
  • Complete reminder calls as needed, along with reviewing and following up on Televox reports.
  • Use AIDET process with every patient encounter. Education
  • College Degree preferred Experience
  • Medical experience preferred
  • 3-5 years of experience in a lead/supervisory role in a healthcare setting
