Hours: 40 hours- rotating between day/evenings and to include weekends

The Patient Services Coordinator II sits at the front desk of the Hemodialysis Unit, greets patients and registers their arrival, and facilitates the scheduling of appointments. The PSC II works diligently to ensure the highest quality of care and level of service to patients and their clinicians.

Reception and Patient Check-In and Check-Out: 40%

  • Greets all patients and visitors to the clinic in a professional and timely manner.
  • Check-in each patient as outlined by MGH/MGPO front desk and practice standards verifying name, date of birth.
  • Displays courteous and timely phone and email interactions.
  • Responds to all telephone calls - addresses all callers in a professional and courteous manner.
  • Uses EPIC and other practice information systems to schedule and check in each patient.
  • Prints daily schedules for the staff and dietary.
  • Assists patients when needed in arranging transportation, escorts.
  • Determines and enters status of all patients in appointment scheduling systems (arrive, no show or cancel).

Patient Intake Process 10%

  • Provides information to clinicians, staff, and inquiring patients/parents about new patient intake process.
  • Maintains spreadsheet of all new patient contacts and their status.

Other 10%

  • Monitors and maintains neat, orderly patient waiting area.
  • Supports Nurse Director and Resource Nurse with outpatient dialysis placement.
  • Participates in monthly departmental support staff meeting and other meetings as requested.
  • Maintains organized filing system for patient records. Files patient records that are not in use promptly.
  • Assists Nurses with faxing and scanning paperwork as needed.
  • Submit any needed work orders for repairs and/or maintenance as needed with either MGH Help Desk or building management.


Qualifications
High school diploma required; Bachelors Degree strongly preferred

2-3 years prior experience in administrative support preferred

  • A high degree of initiative and independent judgment, excellent time management, communication, and decision-making skills are required.
  • Excellent interpersonal skills to communicate and interact with a socially diverse group of patients and families. Ability to interact easily and confidently with children and adolescents with a diverse range of co-mobidities.
  • Must respect the strict confidentiality of medical records and information.
  • Capable of establishing priorities. Must be able to effectively hand a variety of tasks.
  • Ability to perform under stressful situations in meeting the needs of patients and the demands of the job.
  • Good computer skills necessary to use computerized scheduling
  • Demonstrated ability to work independently, with limited supervision, resolve issues, be organized, attentive to detail and achieve outcomes within the team
