We are hiring for a Management Assistant to ensure high quality administrative services to Functional Directors and their visitors as well as contributes to professional office administration in the Business Unit.

Key Accountabilities

  • Acts as focal point for the internal/external meetings of the Management Team.
  • Coordinates organization and communication related to the internal/external meetings of the Management Team.
  • Coordinates the agenda and the actions of the Regional Management Team meetings Americas region
  • External communication with customers regarding price increase announcements, organization changes, or any other broader communication with America's customers
  • Assists in exchange of information among the Management Team, Regional Team, AkzoNobel departments and external institutions (including collecting and distributing in-coming mail / press, sending the out-going one and handling in-coming telephone calls).
  • Takes care of the visitors' reception, provides relevant information to them and introduces them to the appropriate Management Team members.
  • For the Americas Region - helps in preparation / translation of different documents, presentations and booklets as well as their distribution within AkzoNobel.
  • Provides administrative services during the implementation of different projects conducted by the Functional Director and their teams.
  • Upon request from a Management Team member takes care of expenses' administration, prepares minutes, collects data, processes them and prepares reports on different areas of the company's activity.
  • Assists the HR Department in handling of the formalities associated with expatriates / commuters' employment (work permits, visas, residence cards, etc.).
  • Collects information about planned business trips and manages the Functional Leaders
  • Collects information about planned business trips and manages the Management Team agendas.
  • Arranges visas / air / train tickets reservations, books hotel rooms, makes restaurant reservations and organizes as well as handles internal / external meetings (for the Regional Management Team / their visitors).
  • Assists in ordering office equipment / materials, company cars, mobile phones and in providing relevant supply of the food and beverage stock.
  • Familiar with all the applicable corporate as well as site policies/procedures with regard to personal conduct and HSE standards and acting in compliance with all applicable regulations.
  • Support internal relations (Sales, Marketing, HR, Finance, Operations, Procurement, R&D, Corporate IM) and external relations (direct/indirect customers/prospects, forwarding agencies, post-office/courier, hotels and travel agencies, restaurants and taxi corporations, local authorities, embassies, consulates, etc.)
  • Handles confidential and non-routine information and explains policies when necessary.
  • Supports maintenance of the department finances. Activities include: check requests and sending to accounts payable travel reimbursement, documenting corporate credit card expenses to corporate finance.
  • Works independently and within a team on special nonrecurring and ongoing projects. Acts as project manager for special projects, at the request of management and site, which may include: planning and coordinating multiple presentations, disseminating information, coordinating direct mailings, creating brochures.
  • Supports onboarding and offboarding processes.
  • Assist in site communication activity i.e. distribution of updates, corporate policies, communication boards, etc.
  • Performs other related duties as assigned.

Qualifications

  • Minimum High school diploma; AS/AA degree preferred
  • 2-4 years of experience providing administrative support or an equivalent combination of education and relevant experience.
  • Strong organizational skills and attention to detail
  • Excellent communication skills
  • High proficiency in Microsoft office applications
  • Ability to collaborate and work cross-functionally to achieve objectives.
