About the Position:

The Enrollment Resources Specialist provides answers to questions for Undergraduate Admission, Financial Aid, International Student and Scholar Services, Intersessions, University Registrar and University Bursar over the telephone or by email. This position is responsible for understanding processes/procedures which allows the Specialist to resolve 90% of the questions asked. It is expected that the Enrollment Resources Specialist seek electronic information on the university websites and database in order to attain that level of customer service.

Essential Functions:

  • Provide customer service for the six functional areas of Enrollment Services through a multi-line telephone system and the Enrollment Services electronic mailbox. Provide information on student accounts, handle payment questions, provide information on payment options, answer questions about the financial aid process, and track financial aid status.
  • Answer questions regarding the first-year and transfer application process, track application status, help schedule campus visits, answer general questions about academic scholarships, verify that desired academic programs are available.
  • Provide information about how to obtain a certification of enrollment, logistics of academic ceremonies, degrees, enrollment, advising and grading; advise how to obtain a transcript as a student or a third party. Explain how to drop classes, withdraw or request first-year repeat, and direct to the appropriate forms.
  • Help with special projects and operation functions as assigned. This includes preparing monthly reports for the purposes of keeping the Executive Directors informed about ER activity. Help with the distribution of the Division-wide mail. Participate in out-bound calls as needed.
  • Serve as the liaison with an assigned area of Enrollment Services including meeting regularly with representatives of assigned area. Attend area staff meetings and training sessions, and initiate contact with DES staff in order to seek information needed to resolve calls. All specialists share information from assigned area with other members of the ER team. Attend Division and team meetings, as well as participate in extensive training activities.


Qualifications

Education and Experience:

High School Diploma or equivalent is required. Bachelor's Degree strongly preferred.

One (1) year of full-time work experience providing assistance and answering inquiries of customers over the phone is required.

Experience answering a multi-line telephone system and/or in a call center is strongly preferred.

Previous work experience in an institution of higher learning is highly desirable.

Bilingual in Spanish and English is strongly preferred.

Knowledge, Skills and Abilities:

Candidate must demonstrate excellent interpersonal and verbal communication skills with the ability to communicate effectively and positively with a wide range of constituencies in a diverse community. Must demonstrate the ability to communicate effectively in writing.

A strong customer service orientation is essential and a commitment to timely resolution of customer issues is essential.

Candidate must possess highly developed organizational and time management skills to effectively handle and prioritize multiple tasks.

Candidate must demonstrate strong problem solving and analytical skills with the ability to read and analyze accounts, as well as devise solutions.

Must have a strong focus on attention to detail and accuracy.

Candidate should have a working knowledge of MS Office (Word, Excel, and Outlook).

PeopleSoft and Slate experience is strongly preferred.

Candidate must have the ability to quickly learn new software.
