JOB SUMMARY:

Collaborates with other clinic staff for coordination of the overall office operations of the Multi-Specialty Clinic. Greets patients as they first arrive to the unit. Checks patients in and out for their appointments. Maintains patient and administrative schedules for physicians and books necessary procedures and testing for patients of the clinic as requested by physicians. Maintains cleanliness and orderliness of front-end administrative areas and patient waiting rooms. Orders office and kitchen supplies as necessary. Follows Hospital policies and JCAHO standards. Completes special projects and administrative tasks assigned by physicians and administration.

ESSENTIAL FUNCTIONS

Prioritizes work requirements to optimize daily operations including but not limited to: telephone/communications operations, scheduling, obtaining and tracking all necessary information and authorizations to allow patient care to occur in compliance with all third party, insurer and federal regulations.

Assures appropriate interaction occurs directly with patients and physician offices to assist in their understanding of the Multi-Specialty Clinic's requirements for referral, authorization, billing and collection under Business Manager's and the MGPO's Professional Billing Office's direction.

Represents the clinic in communication and interactions with registration, central scheduling, ancillary departments, and patient accounts to assure optimal patient flow and collections.

Works collegially with other appropriate office/support operations supervisors to coordinate patient flow and operations that effect functions of the Multi-Specialty Clinic.

Compiles packets with all necessary forms and labels appropriately for each patient.

Handles information which may be of a confidential and/or sensitive nature.

Answers telephones, conveys messages, and schedules patient visits as appropriate.

Schedules ancillary testing for patients and ensures providers receive test results in a timely fashion.

Retrieves, sorts and delivers daily mail for clinic.

Maintains proficiency with the multiple scheduling systems used by MGH and NWH to coordinate patient care.

Maintains waiting area cleanliness, ensuring all office supplies and forms are readily available.

Initiates work requests for maintenance issues through NWH Property Management Company or through NWH Facilities and Maintenance.

Identifies, monitors and resolve IS and telecommunication issues, which may impact service operations.

Attends meetings, training sessions and conferences as necessary at NWH and MGH.

Coordinates, delegates or completes clerical tasks such as typing, filing, etc as necessary.

Demonstrates strong customer service skills.

Completes other special projects and administrative tasks that are assigned.

Qualifications
Must be a high school graduate. Additional college or business experience preferred.

1-2 years of experience in a healthcare setting. Preferred experience in a multi-disciplinary clinic or pediatric setting.

Possess good organizational and keyboard skills.

Demonstrated strengths in the following areas:

Customer Service.

Ability to prioritize tasks based upon deadline and needs.

Critical thinking and problem-solving skills.
