About the Department:

SMU's Bobby B. Lyle School of Engineering, founded in 1925, is one of the oldest engineering schools in the Southwest. The school offers eight undergraduate and 29 graduate programs, including master's and doctoral degrees, through the departments of Civil and Environmental Engineering; Computer Science; Electrical and Computer Engineering; Mechanical Engineering; and Operations Research and Engineering Management. Lyle students participate in programs in the unique Deason Innovation Gym, providing the tools and space to work on immersion design projects and competitions to accelerate leadership development and the framework for innovation; the Hart Center for Engineering Leadership, helping students develop nontechnical skills to prepare them for leadership in diverse technical fields; the Caruth Institute for Engineering Education, developing new methodologies for incorporating engineering education into K-12 schools; and the Hunter and Stephanie Hunt Institute for Engineering and Humanity, combining technological innovation with business expertise to address global poverty.

About the Position:

The primary purpose of this position will be to process all documentation related to grants held within the Lyle School. This individual will be responsible for monitoring, reconciling and processing expenditure paperwork for each grant. Coordinator will work closely with the Associate Director of Research Support and the Associate Dean of Operations to ensure compliance standards related to research expenditures are met. The Coordinator for Research Support will work closely with

faculty to prepare and submit grant and contract purchase orders, assist with ensuring proper delivery of ordered items, and timely payment of invoices. The Coordinator will also assist PIs with ensuring students are hired correctly on the appropriate projects and that monthly PARs are submitted to the office of Grant & Contract Accounting.

Essential Functions:

  • Preparation of purchase orders, invoice processing and other logistical activities for grants and contracts. Ensure that paperwork is processed through the proper SMU offices for approval and payments in a timely manner. Assist faculty with hiring students on research projects and completing monthly PARs due to the Grant and Contract Accounting office.
  • Work closely with the Associate Director of Research Support and the Associate Dean of Operations to ensure compliance standards related to research expenditures are being met by PIs.
  • Work closely with the Associate Director of Research Support and the Associate Dean of Operations in developing internal process flows and close-out procedures for research projects. Work with the Grant & Contract Accounting office to ensure projects are closed out in a timely manner.
  • Work closely with Associate Dean of Operations to create a process to assist faculty in identifying future funding opportunities. Create communication to distribute information to faculty on a weekly basis.
  • Special projects and other duties as assigned.


Education and Experience:

High School Diploma or equivalent is required. Bachelor's degree is preferred.

A minimum of 3 years accounting experience with an emphasis in grant & contract accounting is required.

Experience in a college or university setting is a plus.

Strong research skills, using web based, print, investigative techniques and writing is highly preferred.

Microsoft Office (Word, Excel and PowerPoint) experience is required. PeopleSoft experience is a plus.

Knowledge, Skills and Abilities:

Candidate must have outstanding written communication skills, including the proper use of spelling, grammar and punctuation, with the ability to produce error-free communications.

Candidate must have excellent interpersonal skills, as well as oral communication and presentation skills. Must have the ability to communicate effectively with a wide range of constituencies in a diverse community.

Candidate must have well organizational skills that include effective planning and time management skills. Strong multi-tasking and problem-solving skills are necessary.

Candidate must have excellent customer service skills.

The candidate must be able to handle information with complete confidentiality and professionalism.

Must be attentive to details and be able to provide accurate information.

Occasionally required to work evenings or weekends to meet deadlines.

Physical and Environmental Demands:

This position must be able to:
  • Carry/lift 25 lbs.
  • Handle objects (dexterity)
  • Sit for long periods of time
