Job Summary:

This administrative coordinator is a direct report to the Associate Dean of the Meadows School of the Arts. Responsibilities will include collecting, managing, analyzing and reporting student data from the point of matriculation forward. This position will produce academic division and school-wide reports and assist in accreditation activities at the school level. The Coordinator will monitor faculty lifecycle, including requests for positions, completion of contracts, assist in faculty leave requests and monitoring Promotion & Tenure progress.

Essential Functions:

Collect, manage, analyze and report student data from the point of matriculation forward. This includes, but is not limited to the following: enrollment history and annual census data reports, annual Meadows Exit Survey, census data reports, dual admit retention, Meadows Scholars, alumni surveys, administrative reviews, assessment data, and ad hoc data requests.

Manage and report data and information related to accreditation. Potentially work with data from SNAPP (on-line survey & data collection project) and potentially, third-party research team. Provide direction and compliance with a system such as WEAVE (software) and Digital Measures (records of faculty publications). Help create and maintain a data warehousing of Meadows personnel.

Monitor and provide reporting on Promotion & Tenure and coordinating Interfolio activities.

Review requests for new/replacement faculty positions and complete contracts for said positions.

Assist with annual reports, such as the Centennial Progress report and the Meadows Foundation report. Update Meadows School of the Arts academic affairs website updated for the appropriate academic year and schedule and monitor MSA course enrollment.

Communicate nominations for faculty senate, and update faculty/staff directory.


Education and Experience:

A Bachelor's degree is required.

A minimum of five years administrative experience is required. Experience in higher education, tracking and reporting student accreditation data is preferred.

Experience working with survey software (i.e. Qualtrics) is preferred.
Knowledge, Skills and Abilities:

Candidate must have outstanding verbal and written communication skills with the ability to build relationships with a wide range of constituencies.

Must have excellent interpersonal skills. Must be able to work effectively with a wide range of constituencies in a diverse community.

Must have strong organizational, planning and time management skills. Candidate must have well developed project management skills that include the ability to handle multiple projects.

Must have excellent customer service skills.

Candidate must have strong analytical and problem-solving skills.

Must be strongly focused on details including appropriate handling of procurement card.

A strong proficiency in Microsoft Word, Excel and Outlook is required.

Knowledge of database software and queries (i.e. Filemaker, PeopleSoft) is preferred.
