Function of the Team:

The Business Performance Team works across USG Business Unit's (USG) Functional Areas - USG People, USG Programs, Business Development, Development Innovations, Finance, and Business Transformation - to support change management by: (1) supporting the 2022-2026 USG Strategy; (2) improving internal communications and information flow; and (3) planning and leading improved internal staff engagement processes; and (4) support the Senior Vice President (SVP) of USG. As part of the 2022-2026 USG Strategy, the Business Performance Team is supporting the USG Systems Initiative, focused on USG Business Unit's role in the broader DAI Digital Transformation. Current projects include support to enterprise resource planning (ERP) system and project management system.

Function of the Position:

This is a full-time permanent position. The Business Performance Specialist supports a wide variety of tasks working across USG Functional areas in (1) Business Administration and USG Systems Initiative; (2) Communication and Events; and (4) other key areas. The incumbent may be seconded to other key priority efforts from time to time, under the direction of the Director, Business Performance. The role must interact seamlessly and with a professional demeanor across a broad range of individuals including members of USG Leadership, consultant, and other DAI senior leaders. The incumbent must handle highly sensitive and confidential financial, legal, personnel and institutional information with professionalism and discretion. The Business Performance Specialist is a hybrid position; the incumbent will be required to work from Bethesda Office at least twice weekly and as needed for senior stakeholder meetings.

Roles and Responsibilities:

Business Administration and USG Systems Support

§ Design and maintain procurement tracker in support of USG Systems Initiative.

§ Lead procurement for service providers in support of USG Systems Initiative, including conducting market research, developing solicitation documents as needed, organizing evaluation committees, conducting cost reasonability analysis, development source selection memos, and liaising with DAI contracts and procurement specialist.

§ Lead procurement of consultants in support of USG Systems Initiative, including develop scopes of work as needed, preparing and managing documentation for consultant files, serving as administrative point of contact for consultants, onboarding consultants into Oracle, and liaising with DAI contracts staff as needed.

§ Lead administrative management of indirect service providers in support of USG Systems, including onboarding service providers into Oracle, following up with outstanding invoices, and reviewing vendor invoices, tracking service provider invoiced to date against budget ceiling, coordinating with Accounts Payable (AP), and processing and supplier/vendor invoices for review or approval.

§ Lead administrative management for consultants, serving as administrative point of contact for consultants, onboarding consultants into Oracle, and liaising with DAI contracts staff as needed.

§ Working with HR and OIMT departments, onboard consultants and staff provided under service providers.

§ Provide orientation for new consultants, including introduction to key stakeholders, introduction to DAI systems, invoicing and billing requirements, and other areas as needed.

§ Manage USG Systems meetings administration, scheduling, and documentation.

§ Regularly report on schedule to senior leadership, flagging any potential delays and escalating to management as needed.

§ Liaise regularly with Business Transformation colleagues leading FAST project.

§ Provide project updates on a consistent basis to various stakeholders.

§ Provide support to Senior Advisor, Digital Transformation as needed

Communication and Events:

• Support the maintenance and development of USG Systems and other SharePoint sites.

• Supporting and/or drafting memos and tracking reports for team archives, Director of Business Transformation, and SVP USG.

• Facilitate engagement for third party vendors and consultants with various DAI stakeholders.

• Develop briefing materials for key meetings/strategy updates as needed.

• Support reporting on the USG 2022 - 2026 Strategy

• Organize meetings and presentations of external organizations to DAI, including room reservations, invitation management, briefing materials, catering, presentation support, internal publicity for event and other duties as assigned.

• Support SVP external events, including ensuring the SVP is prepped ahead of each engagement, providing background information to the meeting and, if necessary, who will be in the room and any key talking points.

Other:

• Maintain confidential and sensitive information.

• Other additional and/or alternative duties as assigned from time to time

• Serve as acting Director, Business Performance as needed.

Qualifications:

Minimum Qualifications:

• Minimum of 4 years of relevant professional experience and a college degree. Equivalent combinations of experience and education will be considered.

• Excellent written, visual and oral communication skills with the ability to communicate complex methodologies and approaches in a clear and concise manner, tailoring communication style to diverse audiences.

• Strong project management skills to lead and structure business development processes and tools.

• Self-directed with strong organizational skills and the ability to prioritize multiple tasks/competing deadlines simultaneously. Track record of strong demonstrated leadership potential.

• Ability to work effectively in a team environment with limited direction

• Flexibility to adjust to changes in demands, new situations, or approaches.

• Ability to take initiative, with strong analytical and organizational skills

• Able to build and maintain excellent working relationships with staff at all levels of the organization and external clients from diverse backgrounds.

• Demonstrated ability to lead diverse teams, create inclusive work environments, and work effectively within a culturally diverse environment.

• Authorized to work in the United States.

Equivalent education and experience will be considered.

Preferred Qualifications:

• Proficiency with SharePoint, Microsoft Dynamics, Power BI, and Power Automate is desirable.

• Previous experience in a role demanding confidentiality of company and staff information desirable.

• Proficiency with Microsoft word, excel, and PowerPoint is desirable.

Compensation & Benefits:

For employees working the United States, the full-time equivalent annual base salary for this position is expected to be between $80,801 to $95,060. Salary for part-time employees will be prorated based on actual hours worked. Actual offers will be based on several factors including, but not limited to, qualifications, relevant education, experience, skills, seniority, performance, and business or organizational needs.

Eligible U.S. based employees will be able to enroll in medical, dental and vision insurance, plus a 401(k)-retirement plan with a company match. Additionally, employees will be eligible for company-paid annual leave (vacation & holidays), sick leave, and parental leave, as well as short- and long-term disability coverage. Detailed information will be provided at the time a formal offer is extended.
