Administrative Office Coordinator

Our client, a tech company located in Cambridge, MA, is seeking an Administrative Office Coordinator to act as the point of contact for office building-related information. This candidate will serve as the primary contact for the firm's building management and vendors, and will be relied on to negotiate optimal pricing and a range of vendor options. Beyond being incredibly organized and creative, this candidate will engage with employees, working to improve employees' work experience. The Office Administrator must also have excellent problem-solving, interpersonal skills, and will be responsible for a wide range of office operations requiring an ability to manage multiple assignments simultaneously and have good judgment when making decisions.

Hours: Tues-Thursday, 8:30 - 5:00

Pay: $25-28/hr depending on candidate experience

Job Duties:

  • Create and maintain vendor relationships to obtain the best prices, value, and selection.
  • Manage all aspects of Shipping/Mailing, including sorting mail, going to the post office, FedEx, USPS, DHL, etc., including ensuring the proper inventory for shipping materials, boxes, filler, etc.
  • Stock kitchen (with drinks, coffee, groceries), which could include lifting packages up to 15-pounds.
  • Coordinate Company meetings - including setting up and assisting with clean-up of food/beverages.
  • Maintain the supply budget and food budget
  • Set up new computers, set up accounts for the same, and clean computer hard drives.
  • Monitor social media sites, delivery/return of devices.
  • Assist with onboarding of new employees.
  • Assist with planning and executing Company special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, etc.
  • Provide input on administrative procedures to increase efficiencies and controls.
  • Maintain the integrity and confidentiality of confidential files and records.
  • Assist with purchasing: purchase orders and invoices.
  • Provide administrative support to management as needed and serve as backup for the EA.


  • 1-2 years of experience in office administration and administrative role in a professional environment preferably in a startup
  • Excellent verbal and written communication skills
  • Excellent organization skills, including the ability to anticipate what will be needed
  • Detail-oriented
  • Ability to set-up new computers
  • Knowledge of accounting is a plus
  • Problem-solving, teamwork, and collaboration skills
  • Advanced Google Suite, MS Office experience required
  • Strong technical skills including Adobe
