This clinical administrative assistant role is in the Division of Rheumatology, Immunology and Allergy and provides direct support to clinical faculty members. This role requires that administrative duties be performed under minimal supervision at the highest proficiency level. Consideration will be given for a hybrid fixed schedule.

Principal Responsibilities

  • Responsible for answering telephone and responding to inquiries made from patients, physicians, nurses, hospital administration, and others. Relays messages, sets up appointments, arranges travel and meetings. Serves as liaison with patients, colleagues, other hospital departments and administrators, ect.
  • Manages all aspects of patient care including scheduling of clinic appointments, specialized testing, handling referrals and managing prescription requests from patients with physician. Scans outside documents for inclusion in patient's record. Drafts letters to patients for physician and sends out patient letters. Processes insurance prior authorizations. Distribute patient notes to appropriate physicians and agencies as necessary.
  • Prepares travel reimbursements, check requests, ect.
  • Participates in phone coverage for other administrative assistants. Participates in practice general office duties.


Qualifications
Qualifications
  • College degree is strongly preferred, although minimum level of education required is a high school diploma or GED.
  • Minimum of three years direct medical office administrative experience beyond entry level.
  • Prior use of EPIC is a plus
  • Familiarity with medical terminology
  • Excellent communication skills
Skills, Abilities, Competencies Required
  • Highest proficient in all communication skills (phone, verbal, written). Ability to handle sensitive information and situations with poise and professionalism.
  • System Skills: Advanced computer skills. Ability to use all applicable applications, including Epic, at a high competency level.
  • Organizational Skills: Strong organizational, coordination and judgment skills. Ability to prioritize effectively. Ability to manage multiple tasks effectively, following established protocols and work within systems.
  • Ability to problem solve and troubleshoot. Ability to analyze a situation and determine best course of action with established guidelines.
  • Advanced understanding and use of medical terminology.
  • Knowledgeable and compliant with all practice, hospital, State and Federal requirements (where applicable to job performance), including policy and procedures with the Joint Commission and HIPAA.
  • Ability to work independently as well as a member of a clinical support team.
