Administrative Assistant - 502171

SUMMARY:

The Administrative Assistant performs a variety of administrative and staff support duties for the department. Assists and directs visitors, resolves administrative problems, and staffs events, as needed. Maintains a dotted line relationship with the Assistant Director, Business Operations in the Facilities department.

RESPONSIBILITIES:

Administrative Support

  • Supports the administrative needs of the Business Office and Facilities, as directed.
  • Provides typical office support: greets and directs visitors; resolves routine administrative problems and answers inquiries concerning activities and operations of department; accepts, screens, and routes telephone calls; maintains log of inquiries as required.
  • Performs a wide variety of typical office duties, often confidential in nature, and operates a variety of office equipment. Maintains files, records, and other documents. Arranges meetings, maintains office calendars and schedules, and manages office supplies.
  • Reconciles and processes invoices.
  • Processes paperwork for real estate and other University transactions.
  • Performs other duties as assigned.

QUALIFICATIONS:
  • Ability to deliver excellent customer service, performing efficiently and courteously in a fast-paced environment.
  • Ability to work cooperatively as part of a team.
  • Ability to maintain confidentiality.
  • Skilled in working with diverse groups of people, handling all interpersonal situations with tact and diplomacy.
  • Skilled in problem solving and public relations.
  • Excellent organizational skills; strong verbal and written communication skills.
  • Strong knowledge of Microsoft Office Suite and database software; ability to learn new software.

EDUCATION & EXPERIENCE:
  • A high school diploma or GED.
  • 2 years' experience in administrative support functions in an office setting.
  • Experience in higher education environment, preferred.

WORK HOURS:
  • Part-time, non-exempt position
  • Partial leave accruals (no health insurance)
  • Work schedule is Monday, Wednesday and Friday 8:30 a.m. to 3:00 p.m., 20 hrs./week

SALARY STRUCTURE:
Pay Grade 3 (Hiring Range $15.88 to $18.68 per hour)
